Privacy Policy

Last updated: 2026-08-09

The operator of Kuchikomi Night (the “Service”) and its website (the “Site”) — referred to below as “we” — handles the personal data collected through your use of the Site as set out below, in accordance with Japan's Act on the Protection of Personal Information, other applicable laws, and, where it applies, the EU General Data Protection Regulation (GDPR).

1. Personal data we collect

We collect the following data when you browse the Site or contact us.

  • Data you provide in an enquiry: company or venue name, contact person's name, email address, phone number, and the content of your message
  • Access logs: IP address, user agent, referrer, access timestamp, and pages viewed
  • Device data: browser type, operating system, screen size, and language setting
  • Browsing activity collected through cookies and similar identifiers (see section 5)

Providing personal data is voluntary. If you choose not to, we may be unable to answer your enquiry or provide the service you asked about.

2. Purposes of use

We use the personal data we collect only for the purposes below. We do not use it beyond those purposes except with your consent or where the law permits.

  • Responding to enquiries, document requests, quotations, and demo requests, and contacting you about them
  • Introducing the Service, proposing how to adopt it, and supporting you after contract
  • Improving the quality of the Site and the Service, and analysing usage statistically in a form that does not identify individuals
  • Detecting and preventing unauthorised access and misuse
  • Responding to requirements under law or from public authorities

3. Disclosure to third parties

We do not disclose personal data to third parties without your prior consent, except in the following cases.

  • Where required by law
  • Where disclosure is necessary to protect a person's life, body, or property and obtaining consent is difficult
  • Where cooperation with a national or local government body, or a party commissioned by one, is necessary to carry out statutory duties and obtaining consent would impede those duties

Transfers to the subcontractors described in the next section, and transfers arising from a merger or other succession of business, are not treated as disclosure to a third party.

4. Subcontracting the handling of personal data

We may subcontract all or part of the handling of personal data to external providers, within what is necessary to achieve the purposes above. We select providers that maintain adequate security controls, bind them contractually to confidentiality and security obligations, and supervise them appropriately.

  • Hosting and delivery of the Site (Cloudflare, Inc.)
  • Cloud email and customer-management services used to receive and answer enquiries
  • Access analytics (the services listed in section 5)

Where a subcontractor is located outside Japan, we review the data protection regime of that country and take the measures needed to ensure equivalent safeguards continue to be applied.

5. Use of cookies

The Site uses cookies and similar technologies to understand how it is used and to improve it. We do not use the data collected through them to identify you directly.

  • Google Analytics (provided by Google LLC) — used for statistical analysis of site traffic. The data it collects is handled under the provider's own privacy policy.
  • Cloudflare Web Analytics (provided by Cloudflare, Inc.) — measures page load speed and page views without using cookies.

You can disable or delete cookies at any time in your browser settings. The Site remains readable if you do, but some functionality may not work correctly.

6. Security measures

We take the following measures to prevent the leakage, loss, or damage of personal data and to keep it secure.

  • Organisational: a designated person responsible for data handling, records of processing activities, and periodic review
  • Personnel: staff briefing on data handling requirements and contractual confidentiality obligations
  • Physical: prevention of theft or loss of the devices and electronic media used to handle personal data
  • Technical: TLS-encrypted communication, least-privilege access control, hashed storage of credentials, and retention of access logs

7. Requests for disclosure, correction, and suspension of use

On request from you or your representative, we will act on the following in respect of the retained personal data we hold.

  • Notification of the purpose of use
  • Disclosure of the retained personal data (you may ask to receive it electronically)
  • Correction, addition, or deletion where the content is inaccurate
  • Suspension of use, erasure, or suspension of disclosure to third parties

Send requests to the contact desk in the next section. We may ask for documentation confirming your identity. Where the law prevents us from granting a request, we will tell you promptly and explain why.
